Event venue hire in Oulu works a little differently from what many newcomers expect, and the first thing to settle is not the date but the number of guests. This guide is for international residents planning a celebration in Finland, whether a karonkka after a doctoral defence, a christening, a memorial reception or a milestone birthday. Our example is De Gamlas Hem, a protected art nouveau villa completed in 1906 at Kirkkokatu 54, where the event rooms, the kitchen and 22 hotel rooms share one roof.
How event venue hire in Oulu usually works
You may expect a flat room fee plus catering on top. At many Finnish restaurants and hotels the room is instead priced through the food: order catering for at least an agreed number of guests and there is no separate charge for the room. Fall below that number, or hire the room without food, and a room fee or minimum bill applies.
That is why your guest count matters so much. At De Gamlas Hem there is no room fee in Charlotta when catering is ordered for 15 or more, in Ester or Regina for 20 or more, and in the two combined for 50 or more. The celebration menus carry a minimum billing of between 15 and 50 guests depending on the room. A room can also be hired without catering on request; ask the sales team for a quote.
The practical lesson for event venue hire in Oulu: compare quotes per guest, not by room fee alone.
Finnish celebrations in brief
Karonkka is the formal dinner a new doctor hosts after the public defence of a doctoral thesis, above all to thank the opponent. The custos, supervisors, colleagues and family are usually invited, and the evening is built around dinner and speeches. Staff at the University of Oulu tend to attend several before hosting one. Our karonkka guide covers the etiquette in detail.
Ristiäiset, the christening, is a family celebration where the child’s name is often announced for the first time, usually over coffee, cake and savoury pastries: hence “christening coffee”.
Muistotilaisuus, the memorial reception, follows the funeral blessing ceremony. Family and friends gather for coffee or a meal, condolence cards and memories are shared, and the reception usually lasts two to three hours.
Event venue hire in Oulu by guest count
With event venue hire in Oulu, the guest count decides the room. Every event room at De Gamlas Hem has a screen, a whiteboard or flipchart, Wi-Fi and notepads, so a slideshow needs no extra equipment.
6–8 guests: F19

F19 is an 11 m² downstairs bay-window cabinet near the lobby, right for a party around one table, such as a board dinner or a karonkka for the closest circle. Dinner from the evening restaurant’s casual menu can be eaten in F19 with no room charge, and the cabinet is booked through the sales team. The celebration menus carry a minimum billing of 15 to 50 guests depending on the room, so ask the sales team what they advise for catering in F19.
Up to 25 guests: Charlotta

Charlotta is a 47 m² room with a view to Kyösti Kallion puisto (Kyösti Kallio park). It suits birthdays, christenings and small weddings where everyone should hear the speeches. There is no room fee when catering is ordered for 15 or more.
Up to 40 guests: Ester, Regina or the restaurant hall
Ester and Regina are 60 m² each and seat up to 40 guests, with no room fee from 20 guests with catering. The restaurant hall also takes up to 40 and has a summer terrace; ask the sales team about private use.
Up to 100 guests: Ester and Regina combined

Opened into one 120 m² space, Ester and Regina host up to 100 guests: a full wedding, a family reunion or a large karonkka. There is no room fee when catering is ordered for 50 or more.
To compare them side by side, see photos and details of every room.
Where the room names come from
The rooms are named after the house’s residents and history. Charlotta carries the name of Charlotta Rinaldi, Ester that of the artist Ester Tuominen, and Regina that of the early professional photographer Regina “Ina” Liljeqvist. F19 recalls the Swedish volunteer air wing F19, whose pilots stayed in the house during the Winter War.
Designed by the architect Victor J. Sucksdorff as a home for elderly educated women, the villa reopened as a hotel and restaurant in 2018, tiled stoves and log walls intact. Read the story of the house.
